How to Update Your Personal Details in the New FA Systems

If you need to update the details of players, coaches, volunteers, or officials within your club, you can do this through The FA’s Club Portal



Step 1: Log In

  1. Go to ? clubs.thefa.com

  2. Sign in using your FA Account details.

  3. Select your club from the homepage.


Step 2: Find the Individual

  1. From the left-hand menu, click People.

  2. Use the search bar to find the individual (by name or FAN).

  3. Click on their name to open their profile.


Step 3: Edit the Details

What Clubs Can Update

  • Contact details

    • Email (if not already linked to another FAN)

    • Phone number(s)

    • Home address

  • Club roles

    • Add or remove roles (e.g. Manager, Coach, Assistant, Welfare Officer, Secretary, Treasurer, Volunteer)

    • Assign individuals to specific teams

  • Team allocations

    • Move individuals between teams

    • Add players into the correct squad (once registered)

  • Emergency contacts & preferences

    • Parent/guardian contact details (for youth players)

    • Communication preferences


What Staffordshire FA Must Update

Some details are locked and cannot be changed by clubs directly. Please contact Staffordshire FA if you need support with:

  • Core personal data

    • Full name (if spelt wrong or changed legally)

    • Date of birth

    • Gender

  • FAN merges

    • If an individual has duplicate FAN records

  • Safeguarding / DBS issues

    • Expired or pending DBS checks

    • Qualifications not showing correctly

  • Locked email problems

    • Email already linked to another FAN

    • Issues logging in to FA Account

  • Eligibility disputes

    • Transfer conflicts, age group disputes, or discipline suspensions


Useful Notes

  • Safeguarding roles: Welfare Officers, Coaches, and anyone working with under-18s must have in-date DBS and qualifications before their role can be approved.

  • Duplicates: If someone has more than one FAN, Staffordshire FA must merge them.

  • Emails: If an email is already in use on another FAN, clubs cannot override this.
